Who we are and how to contact us
The Gut Guy is a Melbourne-based telehealth gut health clinic. For privacy questions, access or correction requests, or complaints, contact Joshua Williams, Privacy Contact, at contact@thegutguy.com.au or 0497 850 719. You may browse this website without identifying yourself; bookings, payments and care generally require accurate identifying details.
Information we collect
Depending on your interaction, we collect contact details, date of birth, delivery and billing details, booking information, correspondence, payment status and service records. For care, we may collect health history, symptoms, medications, supplement use, dietary information and test results through our clinical intake and consultation processes, with consent or where otherwise permitted by law.
We usually collect information directly from you. With your consent, or where otherwise authorised by law, we may also receive it from your authorised representative, treating practitioners, laboratories and service providers. If essential information is not provided, we may be unable to arrange testing or deliver appropriate care.
This public landing page does not request a detailed medical history. The package finder works in your browser: its answers are not submitted to our clinic or analytics. Please request our clinical intake process for sensitive health information rather than entering it into a booking note.
Why we use and share information
We use information to respond to enquiries, assess suitability, arrange appointments and tests, provide and coordinate your care, process payments and refunds, maintain records, manage complaints and meet legal obligations. Access and disclosure should be limited to what is reasonably needed for those purposes.
Relevant information may be shared with your treating clinic practitioners, clinical record and telehealth providers, laboratories such as Microba, delivery services and payment or booking providers. Referrals or information sharing with other health providers occur with your consent or where permitted or required by law. We may also disclose information to regulators, professional advisers or emergency services where legally authorised. We do not sell your health information or use it for advertising audiences.
Payments, bookings and website services
Stripe hosts payment entry and processes your card details. This landing page does not collect or store full card numbers or security codes. We receive payment and order information needed to administer your purchase. Calendly handles complimentary Clarity Call and payment-plan enquiry bookings. After Stripe checkout, you are directed to Cliniko to book your Meet and Greet; Cliniko handles the appointment details you provide. This redirect does not send your card details or health history to Cliniko. Each provider also has its own privacy policy.
Our Google reviews display is provided through Elfsight. Loading that widget sends technical information, such as your IP address and browser details, to its providers and may involve cookies or similar technologies. Website hosting and security services may also process technical request logs. These services are separate from optional analytics.
Optional Google Analytics and Google Ads measurement, managed through Google Tag Manager, are currently disabled on this website. If enabled, this website asks before loading optional analytics and stores your preference in your browser. You can decline and still use the page; clearing this site’s browser storage resets that preference. Package-finder answers and clinical information are not included in the website’s measurement events. Booking and payment websites have their own settings.
Overseas processing
Some technology providers operate internationally, so information may be processed or accessed outside Australia, including in the United States. Locations depend on the provider and service configuration. Contact us for details about the providers used for your care and available processing-location information. Where Australian privacy law applies to an overseas disclosure, we take reasonable steps required by that law to protect your information.
Security and retention
We take reasonable steps to protect personal information against misuse, loss and unauthorised access, modification or disclosure. No online service can guarantee absolute security. Contact us promptly if you suspect a privacy or security issue.
We retain information for care, administration and legal recordkeeping requirements. Applicable Victorian health-record requirements generally require retention for at least seven years after the last service, or until age 25 for records collected when a person was under 18. Other lawful retention obligations may also apply. Information no longer needed is securely destroyed or de-identified where permitted. If a breach requires notification, we will notify affected people and the relevant regulator as required.
Your choices, access and correction
You may ask to access or correct your information, withdraw consent for future optional uses, or opt out of marketing by contacting us. Withdrawal does not undo lawful past use or require deletion of records we must retain. We may verify your identity before releasing records.
We aim to respond to access or correction requests within 30 days. If access or correction is restricted by law, we will explain the reason and available complaint options. Any permitted access charge will be explained beforehand; making a request or requesting correction does not attract a fee.
Privacy complaints and updates
Please send your concern to contact@thegutguy.com.au, addressed to the Privacy Contact. We will investigate and aim to respond within 30 days, or explain any delay. If unresolved, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or the Victorian Health Complaints Commissioner at hcc.vic.gov.au, as applicable.
We may update this policy as our services or practices change. The date above identifies this version. Material changes to information handling will be communicated where required.
